Privacy Policy

Last updated: 25 September 2026

This Privacy Policy explains what information Learnspaces ("Learnspaces", "we", "us") collects when you use our website and app at learnspaces.xyz (the "Service"), how we use and share it, and the choices you have. Learnspaces is a social learning platform: you create spaces for your courses, write notes together with classmates in pods, and study with Skylar, our AI study assistant.

1. Information we collect

Information you give us

  • Account information. When you sign in with Google, we receive your name, email address and profile picture from your Google account. We use these to create and identify your account. We do not receive your Google password.
  • Content you create. Spaces, pods, notes, and the files you upload to pods (such as PDFs, images and slide decks), and the names and details of spaces you create.
  • Conversations with Skylar. The messages you send to Skylar and Skylar's replies. If you use Skylar voice, your voice audio is streamed to our AI provider so Skylar can respond; we do not record or keep it. If you choose to share your screen during a Skylar voice session, the shared screen is streamed the same way and not recorded.
  • Voice calls with classmates. Audio from pod voice calls is streamed between participants in real time. We do not record calls.
  • Invitations. When you invite someone to a space, we store their email address and send them an invitation email.
  • Payments. If you subscribe to Learnspaces Pro, payment is handled by our payment provider. We receive your subscription status and billing email, but never your full card details.

Information from integrations you connect

  • Google Classroom. If you choose to connect Google Classroom, we request read-only access to: (1) the list of your Classroom courses, and (2) the course materials in those courses (titles, descriptions and links to attached files). See section 4 for exactly how we use this data.
  • Moodle. If you connect a Moodle site, we use the site address and access token you provide to read your courses and course resources and import them as spaces and pods.

Information collected automatically

  • Usage and device information. Like most online services, our hosting providers process technical information such as your IP address, browser type and the pages you request, so the Service can work and be kept secure.
  • Presence. While you have a pod open, members of that space can see that you're in it and whether you're in its voice call. This is only shared with members of the same space and is not stored.
  • Data stored on your device. To make Learnspaces work offline, your browser stores a copy of your spaces, pods and notes on your device, along with changes waiting to sync. This data stays on your device and is removed when you sign out. We use cookies and similar browser storage only to keep you signed in and to run the Service; we do not use advertising or tracking cookies.

2. How we use your information

We use your information only to provide and improve the Service:

  • to create and secure your account and keep you signed in;
  • to store, sync and show your spaces, pods, notes and files to you and to the members of your spaces;
  • to power Skylar, which reads the pod you have open (its notes, files and images) to answer your questions, explain material and create quizzes;
  • to import courses and materials from Google Classroom or Moodle when you ask us to;
  • to send you emails you need, such as invitations and messages about your account or subscription;
  • to process Pro subscriptions;
  • to keep the Service secure and working, and to fix problems.

We do not sell your personal information, and we do not use your content or Google user data for advertising.

3. Skylar and AI

Skylar is powered by Google's Gemini models. When you use Skylar, the content of the pod you have open (notes, attached files and images), your messages, and, in voice sessions, your voice audio and any screen you choose to share are sent to Google to generate a response. Skylar only reads the pod you have open, and only when you use Skylar. We do not use your content to train AI models ourselves. Google processes this data under its Gemini API terms; on the service tier we currently use, Google may use it to improve its products. Skylar can make mistakes, so please check important information.

4. Google user data

This section describes how Learnspaces accesses, uses, stores and shares data received from Google APIs.

What we access.

  • From Google Sign-In: your name, email address and profile picture.
  • From Google Classroom (only if you connect it): your list of courses (classroom.courses.readonly) and the course materials in those courses, including their titles, descriptions and links to attached files (classroom.courseworkmaterials.readonly). Access is read-only. We never create, change or delete anything in your Google Classroom, and we do not access assignments, grades, student rosters or your Google Drive files.

How we use it. Google Sign-In data is used only to create and identify your account. Google Classroom data is used only to do what you ask: when you choose to import, we create a space in Learnspaces for each of your courses and a pod for each course material, containing its title, description and links back to the original files. We read Classroom data only when you start an import.

How we store and protect it. Imported courses and materials are stored as spaces and pods in your Learnspaces account, in our database. To let you import again later without reconnecting, we store the Google authorization token for your Classroom connection, encrypted with AES-256-GCM. Access tokens are short-lived and are not stored.

How we share it. We do not sell Google user data or share it with third parties, except with the service providers listed in section 5 that host and run the Service for us, as needed to provide it, or where required by law. Imported spaces and pods are visible to the people you choose to add to those spaces. Google Classroom data is not sent to our AI provider unless you open an imported pod and ask Skylar about it.

Retention and deletion. You can disconnect Google Classroom at any time from Settings → Integrations. Disconnecting revokes our access with Google and deletes the stored authorization token immediately. Spaces and pods you imported stay in your account until you delete them. You can also remove Learnspaces' access at any time from your Google Account's security settings at myaccount.google.com/permissions. Deleting your Learnspaces account deletes your Classroom connection along with your account data (see section 7).

Limited Use. Learnspaces' use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not allow humans to read it except with your permission, for security purposes, or to comply with the law, and we do not use it to train AI models.

5. Who we share information with

We share information only with service providers that help us run Learnspaces, and only as needed for them to provide their service to us:

  • Supabase: database, sign-in and real-time presence.
  • Vercel: website and app hosting.
  • Amazon Web Services (S3): storage for files you upload.
  • Render: hosting for real-time collaborative note editing.
  • Google (Gemini API): AI responses for Skylar, as described in section 3.
  • LiveKit: real-time connection for Skylar sessions.
  • Agora: real-time audio for pod voice calls.
  • CloudConvert: converting uploaded slide decks into slide images.
  • Resend: sending emails such as invitations.
  • Lemon Squeezy: payments and subscriptions for Learnspaces Pro, as the merchant of record.

Within Learnspaces, the notes and files in a space are visible to the members of that space. Your conversations with Skylar are private to you. We may also disclose information if required by law, to protect the rights, safety or property of our users or others, or as part of a merger or acquisition, in which case this policy will continue to apply to your information.

6. Security

We protect your information with encryption in transit (HTTPS), access controls in our database so people can only see spaces they belong to, and encryption of Google Classroom authorization tokens. No online service can be perfectly secure, but we work to protect your information and will notify you if a breach affects it, as required by law.

7. Your choices and rights

  • Access and update. You can view and edit your name and content in the app at any time.
  • Disconnect integrations. Disconnect Google Classroom or Moodle at any time from Settings → Integrations.
  • Delete your content. You can delete pods and files, and spaces you own.
  • Delete your account. Delete your account from Settings → Account. First delete or hand over the spaces and files you own. Deleting your account permanently removes your profile, your Skylar conversation history, and your Google Classroom and Moodle connections.
  • Other requests. Depending on where you live, you may have rights to access, correct, delete or export your personal information, or to object to how we use it. To make a request, contact us at support@learnspaces.xyz.

8. Data retention

We keep your information while your account is active. When you delete content or your account, we delete it from our systems, except where we need to keep some information to comply with legal obligations, resolve disputes or enforce our agreements. Offline copies on your device are removed when you sign out.

9. Children

Learnspaces is intended for people aged 16 and over. We do not knowingly collect personal information from anyone under 16. If you believe a child under 16 has given us personal information, please contact us and we will delete it.

10. International transfers

Our service providers may process your information in countries other than your own, including the United States. Where required, we rely on appropriate safeguards for these transfers.

11. Changes to this policy

We may update this Privacy Policy from time to time. We will post the new version here and update the date at the top. If the changes are significant, we will let you know in the app or by email.

12. Contact us

If you have questions about this Privacy Policy or your information, contact us at support@learnspaces.xyz.
